How to be prepared for virus on April 1, 2009

Dear Customers,

We have recently been made aware of a virus that will self-activate on April 1,2009. This is not a hoax and the warning should be taken seriously.

To make sure that you are protected, please do the following:

Verify that all Windows Updates have been applied to your computer. To check this, please go to http://update.microsoft.com and follow the prompts.

Verify that you have an active Antivirus and Antispyware program. All antivirus and antispyware programs are renewable ANNUALLY, so if you haven't purchased/renewed/installed this type of protection software on any computer purchased more than 1 year ago, please download a free one at http://free.avg.com/download?prd=afe

Verifiy that you have updated and scanned your machine for viruses and spyware. You will need to be sure you have the most recent updates from your Antivirus/Antispyware program in order to be protected.

Verify that you have a backup of all critical/important data in case you become infected tomorrow. You can sign up for Mozy online backup at http://www.mozy.com/?ref=3f9a896b&kbid=39192&m=4&i=77 or you may back up your data to a flash drive or external hard drive for quicker backups.

Do you want to countdown the days (or weeks) until vacation? Do you want to know someone's age on their birthday?

Outlook doesn't support either option, but with a little help from Excel, you can easily create appointments that read "1 day until vacation", 2 days until vacation" or "Jack is 41", "Jack is 42".

  • Create a spread sheet with Start Date and Subject columns. (You might also want to use Categories)
  • Enter the first date in the series. If it's today, press Ctrl+; (semi colon) for today's date.
  • Select the cell and drag down until you reach the last date you need in your series.
  • To countdown, go to the last date cell and enter the subject in the subject column, beginning or ending the subject with a number:

    1 Day until vacation

    Days until vacation: 1

  • Either enter the subject for the date above it, using the next number in the series, or drag the subject cell up one and change the number to the next number in the series.
  • Select both cells and drag up.
  • If you are using a category, enter it and drag to fill.
  • Select all used cells and type a name in the named range box above column A.
  • Save and close the workbook.
  • Import into Outlook.

Enter Spouse and Children's Birthday's in Outlook

When you enter a contact, you can enter that person's birthday and it will show up in the calendar. What about that person's spouse and their kids - where do they get entered?

Not in the Contact form. :) You could create a contact for each person - but that's confusing and a waste of a contact you'll never use. Instead, just create the calendar events for the spouse and kids and associate the contact (bottom of the calendar form) with the events. You'll know who they belong to and the calendar events will be on the Contact's activity tab.

Note: you can enter the spouse's and children's names on the Contact form. Look on the All Fields tab and select Name fields from the dropdown. Type the spouse and children's names in the appropriate fields.

Storing Customer Birthdays in Entourage

It's nice to remember your customers on special days like birthdays. You can store a customer's birthday in a contact, and then add that birthday to the Calendar so that Entourage reminds you in plenty of time to send birthday greetings.

Add a customer's birthday to a contact

Click Address Book

Double-click the contact for the customer whose birthday you want to add.

Click the Personal tab.

In the Birthday box, type the date of the customer's birthday.

To add the birthday to the Calendar, click the Date Actions button next to the Birthday box, and then click Add to Calendar.

Click Save.

The new Calendar event appears. It includes a preset reminder that appears yearly, five days before the customer's birthday.

OS X - Dropping Text on the Dock

Let’s say you’re reading an article online, and you read a sentence that you want to email to a friend. Don’t do the copy-and-paste thing.

Instead, just highlight the text and drag-and-drop it right on the Mail icon in the Dock. It will open Mail and put that sentence into a new mail message. This tip also works in other Cocoa applications like TextEdit, Stickies, and Safari.
